Last updated: September 15, 2026. This policy explains how W2MS Web to Mobile Services Inc. (“W2MS”, “we”, “us”), operating as W2MS Software Solutions, handles personal information on w2ms.com, w2ms.ca, related marketing pages, accounts, and our products (including MeterSense and Veracta).

Applicable laws
We are based in Ontario, Canada. We handle personal information in line with Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable Ontario requirements. If you are in the European Economic Area, United Kingdom, or another region with privacy laws that apply to our processing, we also aim to meet those obligations where they apply to us (for example access, correction, and deletion requests).
Information we collect
We collect only what we need to operate the website, respond to you, provide accounts and products, and meet legal and security duties.
Information you provide
- Contact form: name, email, topic, and message
- Newsletter: email address and your marketing consent choices
- Account signup / sign-in: name, email, password (if you choose password mode), optional newsletter preferences, and authentication codes
- Product / customer data: information you or your organization upload or configure inside MeterSense, Veracta, or related services under a separate customer agreement
Information collected automatically
- Essential technical data: IP address, browser type, device basics, security logs, and bot-protection signals (including Cloudflare Turnstile when forms are protected)
- Region preference: a coarse country signal used to offer w2ms.ca vs w2ms.com, plus your saved region/theme preferences in browser storage
- Fonts: we self-host website fonts from our own domain (no Google Fonts request when you load marketing pages)
- Analytics (only with consent where required): page path, referrer, UTM campaign parameters, approximate country derived from IP, and a first-party analytics session identifier stored in localStorage
- Account session cookies: after you sign in, session cookies keep you authenticated
- Newsletter consent records: when you opt in to emails, we store evidence of consent (time, IP, user agent, and method) for CASL compliance
We do not use Google Analytics, Meta Pixel, or similar third-party advertising trackers on the marketing site.
How we use information
- Respond to sales, demo, support, and general inquiries
- Create and secure accounts; provide product features you subscribe to
- Send newsletters or product updates only when you opt in (CASL-compliant commercial electronic messages in Canada)
- Operate, secure, debug, and improve the website and services
- Understand aggregate site usage when analytics consent is given
- Meet legal, tax, fraud-prevention, and compliance obligations
Legal bases / purposes (summary)
- Consent: newsletters, non-essential analytics, and optional third-party embeds
- Contract / pre-contract: responding to demos and providing paid services
- Legitimate interests / appropriate purposes under PIPEDA: security, site operation, and improving services in ways that do not override your rights
- Legal obligation: records we must keep under law

Sharing
We do not sell personal information. We may share information with:
- Service providers who host email, infrastructure, or security tools (for example hosting and Cloudflare Turnstile) under contracts that limit use to providing services to us
- LinkedIn only if you allow marketing/embed preferences and an embed or outbound LinkedIn link loads their content
- Authorities when required by law or to protect rights, safety, or security
- Business transfers if we reorganize or sell assets, subject to appropriate safeguards
International transfers
Our primary business location is Canada. Service providers may process data in Canada, the United States, or other countries. Where required, we use contractual and organizational safeguards appropriate to the transfer.
Retention
- Contact messages: kept as long as needed to respond and for reasonable business records (typically up to 24 months unless a longer period is required)
- Newsletter emails: until you unsubscribe or we delete inactive records
- Account data: for the life of the account and a limited period afterward for security and legal needs
- Analytics events: retained in aggregate/operational form for a limited period needed for reporting (typically up to 24 months)
- Security logs: retained for security and abuse prevention
Security
We use administrative, technical, and physical safeguards appropriate to the sensitivity of the information. See our security page for an overview. No method of transmission or storage is 100% secure.
Children
Our marketing site and business products are directed to organizations and adults. We do not knowingly collect personal information from children under 16. If you believe a child provided information, contact us and we will delete it.
Your rights
Subject to applicable law, you may request access, correction, deletion, withdrawal of consent (where processing is consent-based), or restriction of certain processing. Canadian residents may also complain to the Office of the Privacy Commissioner of Canada. EEA/UK residents may have additional rights under GDPR/UK GDPR and may contact their local supervisory authority.

Customer / product data
When your organization uses MeterSense, Veracta, or other W2MS products under a paid agreement, that agreement (and any data processing addendum / DPA) controls how customer content is processed. Marketing-site policies do not replace customer MSAs, order forms, or DPAs. This page covers the public website and account signup flows unless a customer contract says otherwise.
Changes
We may update this policy. The “Last updated” date will change when we do. Material changes will be posted on this page.
